Every county has a clerk of court for their circuit courts. The clerk of court is an elected official who serves a 6 year term. The clerk is responsible for filing and maintaining all records pertaining to the judicial court. In addition to overseeing official court records, the clerk is responsible for attending juries in the courtroom. The clerk handpicks members of the jury and confirms oaths and affirmations. The clerk is considered a highly respected member of the judicial system.

Duties of the County Clerk:

Records public records such as deeds, name changes, mechanics liens, mortgages, powers of attorney, wills, corporations, tax liens, military discharges, trademarks, assignments, releases

Files vehicle registrations, title transfers, and renewals, issues license plates and provides an online service to allow users to renew their registrations

Issues notary public certifications

Issues voter registration cards

Files marriages and divorces within the county

Collects delinquent taxes that are owed

Processes payments for services rendered

RECORDS SEARCH AND PUBLIC RECORDS REQUEST

The state of Kentucky provides a free database to search judicial court records. Records from all counties can be accessed. The name on the record or the case number is needed to make a search.

Land records are available online using the clerk’s 3rd party database called eCCLIX. An account is needed before making a search. Once the account is made, the records can be searched by the name on the document, the address of the property, or the parcel number.

Copies of any other records filed with the clerk’s office can be obtained by submitting a record request form. The form is available for download on the clerk’s website. Once the form is completed, it can be submitted in person, by mail, fax, or email.
